Who we are

Digital Dental Clinic is software made by Henacis, a company registered in Nigeria. Clinics use it to manage patient flow, appointments and referrals.

Two kinds of information

Your account. When you sign up we keep your name, email address and a scrambled form of your password that can't be turned back into the password. We record sign-ins and the device's IP address to protect your account.

Patient records. Clinics enter patient details into Digital Dental Clinic. For those records the clinic decides what is collected and why, and Henacis processes them on the clinic's behalf, only to run the service.

How patient records are protected

  • Each clinic's records are separated inside the database, so one clinic can never read another's.
  • Staff only see what their role needs. Clinics invite and remove their own staff.
  • Viewing a patient record, checking someone in, and every referral decision is logged with who did it and when.
  • Alerts and emails never include the reason for a visit or clinical notes.
  • Referrals can only be opened by the specialist they were addressed to, after signing in with that email address. The referring clinic can withdraw access.
  • Information travels encrypted between your browser and our servers.

Who else handles data

We use a small number of providers to run the service: our hosting and database providers, an email delivery service for invitations and password resets, and Paystack for subscription payments. Paystack handles card details directly; Digital Dental Clinic never sees card numbers. These providers may store data outside Nigeria.

What we don't do

We don't sell personal information, show advertising, or use patient records for anything other than providing the service to the clinic.

How long we keep it

Records stay while the clinic's account is open. A clinic can ask us to export or delete its records when it leaves. Some logs are kept longer where the law requires.

Your rights

You can ask to see, correct or delete your personal information. If you're a patient, contact your clinic first, as they control your record; we'll help them respond. Write to henacis@ranca.site.
